Plumber quote checklist: scope, parts, access and exclusions
Write a clearer plumbing quote by recording the reported problem, visible conditions, parts, access and what needs a separate decision.
A plumbing enquiry often starts with a symptom: a leak under a sink, a tap that will not shut off, or a bathroom that needs replacing. Those requests carry very different uncertainty. A useful quote records what you know, what you plan to do and what you cannot yet confirm.
This checklist covers quoting and job administration. It does not explain how to diagnose or carry out plumbing work. Use your competence, inspection and applicable requirements to decide the technical scope.
Record the enquiry before promising a price
Keep the customer’s description, property address, photographs provided and any access restrictions together. Label customer-supplied information as such. A photograph can help you prepare, but it does not prove the condition of concealed pipework or identify every required part.
Decide whether you can give a defined quote or need an initial visit and estimate. Explain any call-out or diagnostic charge before the customer agrees to it. Do not let a casual phone figure become an unexplained final invoice.

For a fixture replacement, identify the agreed product or the allowance for its selection. “New tap” is less useful than a specific model or a clear customer-choice allowance. If the customer supplies the part, agree who checks suitability and what happens if it is missing or unsuitable on the day.
Keep concealed conditions separate
State the limits of the visible inspection. If removing a panel or fixture may reveal additional work, explain how you will report the finding and agree a price before proceeding. An exclusion should clarify scope; it should not be used as a blanket attempt to remove consumer rights.

Check the visit can happen as planned
Record the access contact, parking or loading arrangements and the parts expected to be available. If a tenant, landlord and letting agent are involved, identify who can authorise changes and who receives the invoice. A person opening the door may not be the person who commissioned the work.
Keep these details on the job record. Avoid repeating a full customer address across unrelated messages when a controlled record will do. Update changed arrangements where the attending plumber will see them.

Carry the agreed version into the job
Keep the acceptance with the specific quote version. Record any later variation separately, including its price and effect on the visit. At invoicing, compare the document with the accepted scope and agreed changes.
