MTD quarterly update checklist for construction sole traders
Prepare for an MTD quarterly update with reconciled records, a clear review process and saved submission evidence.
A quarterly deadline is easier to manage when the work before it has a clear stopping point. This checklist is for reviewing the records and confirming submission, with separate attention to construction invoices and CIS. It does not replace your accountant’s tax review.
Confirm the period before adding figures
Check the period shown in your compatible software and whether you use standard or calendar update periods. HMRC’s current updates are cumulative, so the second update covers the year to date rather than only three isolated months. Review HMRC’s quarterly-update instructions before preparing figures.
Put the period on your working notes and on any query list sent to your bookkeeper. This prevents a common administrative mistake: one person reviews calendar months while another prepares a different reporting period.
Close the missing-document list
Start with the transactions you cannot explain. Find the missing merchant receipt, the customer credit and the contractor statement. A bank amount is useful evidence, but it may not show what was bought, the VAT treatment or a withheld CIS deduction.
Do not silently mark a query complete because the deadline is close. Give your accountant the unresolved amount, date, counterparty and the question. They can decide the correct treatment; the record should show that uncertainty existed.
Review construction-specific differences
- Match net payments from contractors to the invoice and deduction statement.
- Check that a returned material item has not left both the original cost and an ignored credit.
- Identify deposits and stage payments clearly for the accounting basis you use.
- Keep subcontractor payments you make separate from CIS deducted from you.
- Confirm the VAT treatment where a reverse-charge invoice appears.
Our CIS statement guide and reverse-charge guide explain those records. They cannot determine the tax treatment of every job; ask your accountant about unusual transactions.
Use a review cover sheet
Update period shown in software: [period]
Records reconciled through: [date]
Outstanding questions: [list or none]
Reviewed by and date: [name/date]
Submission owner: [name]
Submission result and acknowledgement: [reference]
Correction required: [yes/no and action]
Store this alongside the supporting records. A second person should be able to see which version was reviewed and whether the update actually went through. If the submission fails, retain the error and assign the retry. Do not mark it complete merely because a button was pressed.
After sending
Check the acknowledgement and the period recorded by the software. Keep the next review date in the diary. If a correction comes in later, use the supported correction workflow so the cumulative figures remain consistent. Do not create a second sale to compensate for an earlier typo.
Understand the 2026–27 easement
HMRC says missing a quarterly deadline in 2026–27 does not attract the quarterly-update penalties, but records and updates are still required. Other obligations are not automatically waived. Read the current penalty rules and arrange catch-up work if needed.
Trade PA can help organise day-to-day trade records. Check its published MTD status and use a confirmed compatible route for live filing. The readiness checklist covers the earlier setup. This is general workflow guidance, not a promise of filing or tax compliance.
