Electrician job records: from enquiry to certificate handover
Keep electrical job scope, changes, inspection documents and customer handover connected with a practical admin checklist.
An electrical job can leave information in several places: the original enquiry, a quote, site notes, photographs and the final inspection or certification documents. A clear job record joins those pieces together so the office, engineer and customer can identify the work and its outcome.
This is an administration guide for electrical businesses. It does not determine what inspection, certification or notification your work requires, and it does not provide technical testing instructions. Those decisions belong to the competent person under the applicable requirements.
Start with the requested work
Record the customer’s request in their own terms, then distinguish your proposed scope from it. “Improve the kitchen electrics” needs more detail before a quote can be meaningful. Keep the property, contact and relevant access information with the job reference.
If the enquiry concerns a landlord, managing agent or other representative, confirm who commissioned the work, who can agree changes and who should receive the documents. Do not assume they are all the same person.
Keep the quote version and acceptance
Identify the work included, the assumptions made after any visit and the limits of what is yet known. List customer-selected fittings or allowances clearly. Preserve the accepted version so a later change does not obscure the original agreement.
Accepted quote and version: [reference]
Property and contact: [details]
Agreed scope: [summary]
Customer-supplied items: [list]
Access or sequencing constraints: [details]
Person authorised to agree changes: [name/role]
Record changes where the engineer can find them
If the customer requests an additional point or a different fitting, record the request, agreed scope, price and timing effect. Keep supporting messages with the variation. A conversation remembered by one person is a fragile basis for the final invoice.
Use photographs and notes to support the work record without treating them as substitutes for required technical documentation. Make sure uploads belong to the right property and job. Similar addresses and repeat visits can otherwise produce a plausible-looking but incorrect file.
Keep technical documents under qualified review
Use the appropriate document for the work and ensure the responsible person completes and validates it. Check identifying details, dates and the connection to the job. A template, default value or saved draft does not establish that an inspection was carried out or that an installation is satisfactory.
Our EICR guide explains that particular report at a general level. It is not interchangeable with every document an electrical job might need. Confirm the requirements for the actual work and jurisdiction.
Use a handover checklist
| Item | Record the outcome |
|---|---|
| Work and changes | Completed scope and unresolved items |
| Required documents | Final version, responsible person and location |
| Customer delivery | Recipient, method and sent date |
| Invoice | Agreed amount, variations and payment status |
| Follow-up | Specific action, owner and date |
Open the final attachment before sending it. Confirm that delivery occurred through the intended channel; saving a document in the app is a different state from providing it to the customer. Keep failed delivery or incomplete handover as an open action.
Review one completed job
Ask whether another authorised colleague could understand the scope, changes, documents and payment without asking the original engineer. Fill the gaps in your checklist before repeating the process.
Trade PA helps organise job and certificate records. Use its templates with qualified review and check the saved output. The goal is a traceable electrical job record, with the technical judgement left to the person responsible for the work.
