AI admin for trades: seven tasks to test before choosing an app
A practical test for AI trade software: use sample enquiries, quotes, receipts and reminders, then check accuracy and the work still needed.
“AI admin” can mean anything from rewriting a sentence to helping manage a job. To decide whether an app will help your trade business, test a few ordinary tasks and check the result. A fluent response is not the same as a correct invoice or a saved appointment.
Trade PA includes Eve, its AI assistant, so we have an interest in this category. This is a test worksheet you can use with any supplier. The examples are invented and the timings you collect will be your own; we are not claiming a measured saving for every business.
1. Turn an enquiry into a useful record
Start with a fictional customer asking for two fence panels to be replaced. Include a postcode, a preferred day and one unanswered question about access. Check that the app separates known facts from missing details. It should not invent an address or promise an appointment you have not agreed.
2. Draft a quote with boundaries
Provide a labour amount, materials, disposal and a clear exclusion. Read every line of the output. Look for changed quantities, invented guarantees or an unsupported VAT treatment. A useful draft makes the scope easier to review; it still needs your prices and approval before it goes to a customer.
3. Handle a correction
Change the materials quantity from two to three. Check the saved quote as well as the conversation. Does the total change correctly? Is the old version identifiable? A message saying “updated” is not enough if the document still contains the earlier amount.
4. Capture a receipt
Use a fictional or redacted receipt with a date, supplier, total and VAT line. Check the extracted values and the attached image. Then upload the same receipt again in a safe test area and see how duplicates are handled. Do not assume a plausible category is the correct tax treatment.
5. Set a reminder
Ask for a follow-up on a specific date and time. Open the reminder list and verify the saved record, timezone and intended recipient. Test what happens when you change the date. An assistant acknowledging a request is different from a notification arriving when required.
6. Prepare a customer reply
Give it a message that asks both about price and availability. Check that the draft answers both without inventing a discount or a free slot. Read the recipient, attachments and quoted history before sending. Keep sensitive customer information out of unrelated test services.
7. Recover from uncertainty
Try an ambiguous request such as “move John’s job to Friday” when two fictional customers are called John. Useful behaviour is to resolve which job and date you mean. A confident guess can create more work than it saves.
Score the result you can verify
| Measure | What to record |
|---|---|
| Accuracy | Wrong or invented details |
| Saved state | Whether the actual record matches the answer |
| Review effort | Minutes spent checking and correcting |
| Recovery | Whether an error can be understood and corrected |
| Cost | Plan, allowance and extra usage terms |
Repeat the same small set in each trial. Keep the manual version as a comparison, including the time spent finding information. Do not extrapolate one easy result into a claim about every working week.
